ShipMatch respects your privacy and is committed to protecting personal data. We collect and process only the data reasonably necessary to operate the platform, provide requested features, support users, protect the service, and improve user-facing workflow tools.
Depending on how you use ShipMatch, we may collect account and profile details, company information, subscription status, cargo and vessel records you add, offer and communication records generated through the platform, technical and usage logs, and limited security data needed to protect the service.
If you explicitly connect a Google account to ShipMatch through Mailbox Connect, ShipMatch may access Google user data that is required for the feature to work. This may include your Google account email address and basic profile details needed to identify the connected account, as well as Gmail read-only data from the mailbox, folders, or labels you authorize.
ShipMatch uses this data only to import selected market emails, extract structured cargo and open vessel details, generate match suggestions inside the product, and support related user-facing workflow actions. ShipMatch does not use Google user data for targeted advertising, sale to third parties, data brokerage, unrelated profiling, credit-worthiness decisions, or training generalized AI or machine learning models.
ShipMatch requests read-only Gmail access for this feature. We do not send, edit, delete, or move Gmail messages through Mailbox Connect.
We use collected data to create and maintain user accounts, display and manage cargo and vessel information, run matching and workflow features, process subscriptions, send service communications, prevent abuse, secure the platform, and improve the quality of user-facing ShipMatch functionality.
We do not sell or rent personal data, including Google user data. We may disclose limited data only in the following situations:
Any service provider handling Google user data for ShipMatch may do so only for the limited purpose of providing or improving user-facing ShipMatch functionality on our behalf.
We apply reasonable administrative, technical, and organizational safeguards designed to protect personal data. Mailbox tokens and connection secrets used for Mailbox Connect are stored in encrypted form. Where passwords or provider credentials are required for non-Google mailbox connections, they are encrypted at rest and are not intended to be viewable in plain text by administrators through standard operational tools.
We retain personal data only for as long as reasonably necessary to provide services, maintain feature history, resolve disputes, enforce agreements, meet legal obligations, and protect the platform. Mailbox connection data may be retained while the connection remains active and for a limited period afterward for security, auditing, and recovery purposes. Parsed extracts and match records may be retained as part of your workspace history until they are no longer needed or are deleted in response to a valid request.
You may request access to, correction of, or deletion of personal data by contacting ShipMatch support. If you connected a Google account, you can also revoke ShipMatch access from your Google account permissions at any time. If you revoke access or ask us to remove mailbox connection data, related Mailbox Connect functionality may stop working until the connection is re-authorized.
We may update this Privacy Policy from time to time. If we materially change how ShipMatch accesses, uses, stores, or shares Google user data or other personal data, we will update this page and relevant in-product notices so users can review the latest policy.
